Job OverviewThe role provides reception and administrative support services. Is responsible for greeting all guests and clients, processing correspondence and parcels, answering and forwarding of calls, overseeing of the meeting room area and various administrative tasks as necessary. Roles & ResponsibilitiesSwitchboard:The switchboard must be answered courteously within the first three rings.
Reception Duties:Visitors must be suitably welcomed. On receiving deliveries, the relevant staff member should be contacted to take delivery, alternatively in their absence the Receptionist will sign for the item.Ensure that overnight bags are accurately and timeously prepared for distribution.Ensuring that the boardroom refreshment stocks are monitored and replaced timeously. A purchase order must be done on SAGE for approval and shopping to be done at company. Every 2 months a price comparison must be done between company and the supplier of choice. Mail should be sorted and distributed when received.Meeting Room ManagementAttendance registers checksTelephone lists updatesAdministrationTraffic fines for invoicing to debtorsTravel and catering arrangements
Requirements:
Qualifications: Matric, relevant tertiary qualification Experience: 2 yearsMinimum Critical competencies
Excellent organizational skills with the ability to manage multiple priorities. Ability to plan and meet deadlines.
Attention to detail, commitment, positive attitude, punctuality and customer focus.
