Description:
Optimi requires the services of a proactive Sales Administrator to support our sales team by ensuring documents are accurately compiled, implementing quality assurance steps, and facilitating seamless student registration processes. You must be motivated, people-oriented, excel in administrative support, and be willing to work in a high-paced environment.
REQUIREMENTS
- Grade 12 or equivalent (Essential)
- Diploma in a related field (Advantageous)
- 2–3 years’ experience in sales administration, data capturing, or call centre environments
- Proficient in MS Office (Essential)
- Experience with CRM/sales platforms (Advantageous)
- Fluent in English
- Proficiency in another official South African language is a plus
DUTIES
- Support Educational Planners with documents and allocating leads.
- Deal with lead management tasks such as reallocation, tracking, and follow-ups.
- Provide quality feedback to management and maintain sales meeting records.
- Assist with internal ticketing, task prioritisation and incentive tracking.
- Ensure balanced task distribution across the sales team.
- Communicate registration processes and policy changes to students.
- Follow up on required enrolment documents (IDs, registration forms, Matric certificates, etc.)
- File documents accurately and ensure data integrity.
- Capture enrolments and trial courses on relevant platforms (e.g. SkillSoft).
- Draft and issue proof of registration letters.
- Perform quality spot checks on client interactions and sales compliance.
- Monitor and manage DebiCheck mandates and cancellations.
- Verify that forms and data captured are complete and correct.
- Proactively escalate any system or quality issues.
- Create and update course bundles and product information (SkillSoft).
- Liaise with Marketing and Academics to verify online course accuracy.
- Maintain course-related FAQS and support documents.
- Deliver accurate and timely responses to client enquiries.
- Ensure high client satisfaction via emails, calls, or ticket interactions.
- Drive collaboration between front- and back-office functions.
- Log and follow up on IT or system-related tickets.
- Complete ad hoc administrative tasks as assigned.
