Description:

Optimi requires the services of a proactive Sales Administrator to support our sales team by ensuring documents are accurately compiled, implementing quality assurance steps, and facilitating seamless student registration processes. You must be motivated, people-oriented, excel in administrative support, and be willing to work in a high-paced environment.

REQUIREMENTS

  • Grade 12 or equivalent (Essential)
  • Diploma in a related field (Advantageous)
  • 2–3 years’ experience in sales administration, data capturing, or call centre environments
  • Proficient in MS Office (Essential)
  • Experience with CRM/sales platforms (Advantageous)
  • Fluent in English
  • Proficiency in another official South African language is a plus


DUTIES

  • Support Educational Planners with documents and allocating leads.
  • Deal with lead management tasks such as reallocation, tracking, and follow-ups.
  • Provide quality feedback to management and maintain sales meeting records.
  • Assist with internal ticketing, task prioritisation and incentive tracking.
  • Ensure balanced task distribution across the sales team.
  • Communicate registration processes and policy changes to students.
  • Follow up on required enrolment documents (IDs, registration forms, Matric certificates, etc.)
  • File documents accurately and ensure data integrity.
  • Capture enrolments and trial courses on relevant platforms (e.g. SkillSoft).
  • Draft and issue proof of registration letters.
  • Perform quality spot checks on client interactions and sales compliance.
  • Monitor and manage DebiCheck mandates and cancellations.
  • Verify that forms and data captured are complete and correct.
  • Proactively escalate any system or quality issues.
  • Create and update course bundles and product information (SkillSoft).
  • Liaise with Marketing and Academics to verify online course accuracy.
  • Maintain course-related FAQS and support documents.
  • Deliver accurate and timely responses to client enquiries.
  • Ensure high client satisfaction via emails, calls, or ticket interactions.
  • Drive collaboration between front- and back-office functions.
  • Log and follow up on IT or system-related tickets.
  • Complete ad hoc administrative tasks as assigned.


This position is based in Centurion.
