People
Proactively manage client and advisor communication and queries; Process client and advisor requests; Interact with clients, staff and other stakeholders; Regular interaction with clients, fellow-employees, business management and LISPs to ensure the effective delivery of communication and administrative requirements.Procedures
Load new clients in the CRM system; Collect mandate documentation and ratings; Compliance and risk management (maintain register of high risk clients FICA); Client screening; Review/complete a CDD (client due diligence) on all exciting and new clients; Maintain email communication distribution lists (Correl8); Follow up on queries, outstanding information and incomplete documentation; Client service related duties; Investigate discrepancies (reconciliation of Naviga systems and reports according to LISP data); Assist teammates with administration issues; Update and maintain database; Remove (or indicate inactive) client detail for inactive investments picked up; Monitor client folders on the CRM system; Prepare management reports (AUM and AUA reports); Prepare, distribute and process investment instructions (switches; initial, rebalancing and portfolio changes); Perform general duties to include, but not limited to, copying, mailing and filing of organizational documents and records; Open, sort and distribute incoming correspondence; post and email; Answer all incoming calls promptly and politely; assess callers requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously; Implement model portfolio changes; Monitor deviations from the model portfolios; Restructure a clients portfolio if it is not aligned with the model portfolio; Linking of Advisors; Register new model portfolios; Prepare quotations on a platform; Assist advisors with model portfolio switches, mandates and general administration.Processes
