Office Administrator
Onboarding and Office Administration:
· Customer vetting and onboarding (Fulfil and manage the end2end process as stipulated).
· Dealing with basic account queries – (Customer balances and proof of payments).
· Documenting of processes.
Invoice Analysis:
· Balance less than R0.00 - No Action.
· If R0.00 – Action if more than R0.00.
· Summary invoice payment - Checking but no action.
· Not on OT base file - No action.
· Overdue not payable yet - No action
· Overdue less than R25 – Call the client and advise.
· Overdue more than R25 - Call all on list and discuss payment and overdue amount. Suspend services if no contact and client is Emailed, SMS and WhatsApp.
· Overdue payable other - Check and if there is any to action I will action it.
· Unpaid other reference - No action
· Paid Check - No Action
· Payment Arrangement - Checking all to confirm if any arrangements or payments made. Pensioner labels added and payments arrangements by the 10th. Clients that get paid on 15th is advised to double pay. If not agreed the client is advised that he will be suspended should his account become overdue.
Other:
· Client calls and queries & updating DataTill accordingly.
· Onboarding but no placing orders with FNO.
· Cancellations mailbox - Attempting to retain the client and if cannot retain moving to cancellations to be processed by Nolo.
· Payment’s mailbox and WhatsApp pop's - check both and updating DataTill and adding relevant labels
Shared task.
· Calling clients when services go live to discuss billing process. No contact, push for internal collections.
· Label –
o New client voicemail.
o New client not picking up.
Sales:
· Helping and guidance to the sales staff as and when needed.
· Assisting sales with customer queries and managing their new client expectations.
Office Admin:
· Assisting the CEO in any administrative requirements.
· Providing regular feedback and reports to CEO on an adhoc basis.
· Assisting CFO with any administrative queries and providing timeous feedback.
Requirements:
Education and Qualification
· Matric and relevant tertiary qualification.
· Intermediate user on Microsoft Office (Word, Excel, outlook etc).
· Proven experience as an office administrator or in a similar role.
