Description:

Purpose of the Job:
Manage the maintenance of building services, including mechanical, electrical, structural, and civil aspects of each asset within the official investment strategy, and handle financial reporting, including budgeting.

Key Responsibilities:

Building Management:

Conduct annual and bi-annual building audits to ensure proactive maintenance and planning, including 5-year expense forecasts. Compile and complete budgets for general expenses, service contracts, electrical, plumbing, consumables, extraordinary expenses, and capital expenses. Conduct annual and bi-annual tenders for service contracts to ensure competitive pricing and high service quality. Investigate new products and technology to improve quality and reduce expenses. Conduct regular building inspections and train on-site staff to maintain property standards. Inspect authorized work before, during, and after completion. Ensure new tenant installations are completed within the provided timeframe. Meet with tenants to resolve complaints. Manage on-site building staff. Carry out ad-hoc tasks as required and approve contractor invoices.

Financial and Administration:

Ensure major expenses are incurred as per budget to avoid variances and keep budgets up to date. Maintain general correspondence to keep Centre Management, Property Managers, Building Staff, and Tenants informed of work. Conduct regular building inspections to ensure contracted services are performed as per agreements. Provide related reports to Asset Managers, senior Property, Regional, and Asset Managers as required. Compile visual and cost reports or quotations for major expenses. Attend monthly portfolio meetings to report on variations, outstanding work, work in progress, and general items. Assist Centre Management or Property Management with day-to-day maintenance issues. Conduct regular stock control of goods, materials, and consumables. Comply with company procurement policy and other policies. Execute performance appraisals as required. Manage and maintain service contract audits annually or as required. Compile expense schedules, ops cost schedules, and national rates. Ensure office and building staff training, performance, and quality of work are continuously monitored and discussed with management.
