Starke Ayres is the foremost African specialist and global supplier of premium vegetable, flower and lawn seed varieties – both for commercial and home garden planting. The following position has become available for a Admin Assistant, based in our Laboratory, Kempton Park. The purpose of this role is to provide administrative back-up and support to the Quality Assurance Department by ensuring that test/quality data is collated, recorded, maintained and communicated to the relevant parties.
RESPONSIBLITIES:
Management, receipt, registration and dispatch of seed samples:
Assist with the receipt, registration, dispatch and management of seed samples for:
- General quality determination
- Genetic verification (grow-outs)
- Pathology tests
- 3rd party tests by the NDA etc.
- Comparative testing, etc.
- Seed samples for trials.
Maintenance, management and keeping of electronic and hard copy data / records:
Keep electronic records/registers of all outgoing / incoming samples as well as results thereof for:
- General quality determination
- Genetic verification (grow-outs)
- Pathology tests
- 3rd party tests by the NDA etc.
- Comparative testing, etc.
- Capture and maintain accurate records of all test results on internal database
Assist with Quality control Coordination procedures:
- Assist with timeous and accurate compiling of all Quality Control related matters / reports.
- Stock due for testing reports
- Assist with orders for technical items required for the labs.
- Depot temperature reports
- GLOBALGAP reports
- Laboratory certificates
- Assist with physical and technical laboratory duties.
- Assist with seed write-off requests and management of physical write-off.
- Assist with identification, development and management systems of new procedures which will contribute to improved workload and time management.
Perform general administrative and other duties:
Secretarial services
- Typing of all letters, memos, reports etc. when requested.
- Develop, manages and maintain a filing system and files all documents in an orderly manner.
- Sending of faxes and general Company correspondence.
- Receives incoming calls, deals with them professionally and promptly and ensures that messages are distributed and tended to as speedily as possible.
- Arranges air travel and booking of accommodation as and when required.
- Monitors movements of designated personnel during periods of absence from the office and ensures that he/she/they may be contacted with the minimum delay when required.
Confidential Communications
- Maintains a high level of responsibility and integrity when dealing with matters of a confidential nature.
- Maintains a watchful eye in the office/laboratory environment, ensuring that no confidential documents are left unattended.
Conference and Meetings
- Organizes conference, meetings and other Company functions as required.
- Takes minutes at meetings and distributes them as required.
Customer Service
- Creates a culture of superior customer service in his/her dealings with internal and external customers.
- Acts responsibly and professionally at all times, fostering goodwill and a positive image for the Company.
Requirements:

- Grade 12 National Senior Certificate
- Knowledge of agricultural legislation or phytosanitary procedures.
- Driver's license
- Own transport
