Responsibilities:
Managing Day-to-day operations
Overseeing the day-to-day operations to ensure smooth running of the administrative office Managing staff
Managing office staff as well as the Human Resources function of the company. Managing the Performance Appraisal Processes, ensuring line managers and supervisors do quarterly and financial year end Appraisals timeously and collating Final Appraisals. Forms part of the Remuneration Team (Consisting of DP, GM & OM that evaluates staff Performance Appraisals to determine annual salary increases and annual bonuses. Also responsible for ensuring Compliance with the Dealerships Disciplinary Code of Conduct & Grievance Procedure Manual Ensuring compliance
Ensuring that the dealership and complies with the dealerships finance policies, Occupational Health & Safety, Labour legislation, the Groups GR policy Communicating
Communicating with customers, contractors, service providers, and third-party vendors, resolving disputes and escalating to GM or DP where required Preparing financial statements
Oversee the preparation of financial reports and liaise with external auditors for final annual financial statements preparation Scheduling
Scheduling meetings Ordering supplies
Ordering office supplies, monitoring and managing office supplies, office equipment and equipment maintenance Occupational Health & Safety
Responsible for ensuring compliance with the OH&SA, ensuring the training and certification of:
- Safety Representatives
- Safety Officers
- First Aiders
- Fire Wardens

Maintaining
Ensuring that maintenance of dealership assets (company vehicles, office equipment and machines etc.) are maintained according to their service guidelines. Licenses are paid timeously. Routine maintenance to premises to be scheduled as required. Large maintenance issues should be first referred to either the GM or DP Organizing
Organizing filing systems, ensuring that the safekeeping of records and confidentiality are maintained Tracking systems
Tracking systems for bookkeeping, paperwork filing, office supplies, and other office management tasks like keeping personnel files up-to-date and filed. Tracking staff leave (annual, special, medical and maternity) Office managers should have strong organizational skills, time management skills, and the ability to multitask and prioritize. They should also have good verbal communication skills and problem-solving skills Requirements:
