Job Description

Job Purpose: The Cashbook & Guides Clerk is responsible for managing all credit card transactions, guide expenses, and foreign notes cashbook entries within the finance team. This role ensures accurate financial reporting and reconciliation while providing support to international teams and assisting with administrative tasks related to travel and tourism operations.

Key Responsibilities:

Financial Accounting:

Reconcile and balance credit cards, including all of our client's credit cards. Capture and process credit card transactions. Issue and receive funds for guides, ensuring accurate tracking and reporting. Manage foreign petty cash, ensuring proper documentation and reporting. Update project report templates and ensure accurate data entry. Maintain the guides balance records and ensure proper filing. Communicate with guides based outside the country to ensure accurate balancing and timely resolution of any discrepancies.

Team Work:

Build and maintain strong relationships with international offices and key personnel. Provide support and guidance to colleagues as required, fostering a collaborative work environment. Effectively communicate and implement best practices for financial processes and procedures. Assist colleagues outside of normal office hours when necessary.

Learning & Development:

Continuously develop product knowledge to stay current with industry trends. Participate in office visits and events where feasible. Stay informed about global issues that may impact the role, such as currency exchange, legislation, tax, and the trading environment.

Administration:

Ensure full understanding and adherence to divisional procedures and policies. Contribute to the enhancement of existing financial procedures and processes. Submit reports in a timely manner and adhere to deadlines.

Qualifications & Expertise:

Matric / Grade 12 qualification (essential). Tertiary qualification in financial accounting is advantageous. Proven experience in cashbook management, ideally within the travel and tourism industry. Strong proficiency in MS Excel. Knowledge of Accpac is a plus.
