Job Title: Commercial & Retail Portfolio Manager
Key performance areas: Job output:
1. Unit Sales and Marketing
• To promote properties to optimise occupancy by collecting market data,
implementing marketing activities, supporting promotion of the property,
tracking impact of marketing initiatives and providing feedback weekly
and as required
• To manage retail and commercial letting by identifying and securing
tenants in line with the desired tenant mix and negotiating and
concluding leases and lease renewals as required
• To support asset management by collecting and analysing market related
data, monitoring competitor activity, providing input to sales and leasing
plans, providing input on strategy implementation and making
recommendations and inputs into marketing and sales strategies monthly
and as required
2. Stakeholder Relationship Management
• To build relationships with retail and commercial tenants by
understanding their requirements, addressing their queries, resolving
outstanding issues, escalating complex issues and providing feedback and
ongoing communication monthly and as required
• To build and maintain relationships with law enforcement, community
organisations and community leaders by engaging with them, providing
input and feedback on relevant matters, identifying areas of potential
conflict and addressing these monthly and as required
• To collaborate with CIDs by participating in CID structures, contributing to
CID initiatives and projects, identifying and reporting on requirements toimprove areas, raising concerns and providing feedback monthly and as required
3.Energy Efficiency
•To optimise energy efficiency by monitoring energy consumption, identifying opportunities for improved efficiencies and cost savings, developing plans and implementing them as required
To execute energy conservation initiatives by liaising with stakeholders, agreeing actions, communicating energy saving plans, following up on implementation, identifying challenges and implementing corrective action monthly and as required
4.Billing, Collections and Lease Administration
•To supervise retail and commercial tenant invoice generation and distribution by reviewing invoices to confirm accurate loading of charges, identifying anomalies, overseeing correction of tenant invoices and confirming distribution of invoices monthly and as required
•To optimise utilities recoveries by confirming charges in line with the lease conditions, monitoring utilities recoveries, identifying areas of under-recoveries and implementing corrective action monthly and as required
•To optimise collection of rentals by drawing aged analysis of retail and commercial tenants, identifying tenants in arrears, engaging with tenants to facilitate collection of rental, negotiating and securing payment arrangements and monitoring payments in line with agreements monthly and as required
•To support collection of arrears by sourcing documentation, answering queries and providing support as necessary
•To audit lease compliance by reviewing lease terms, confirming compliance with lease conditions, identifying anomalies and engaging with tenants to address any non-compliances twice a year and as required
•To implement relevant systems and processes by understanding the policy and procedure and implementing the systems as required
•To improve system efficiencies by identifying areas for improvement, recommending changes, implementing approved changes and monitoring efficiency impacts as required.
5.Financial Review
•To monitor financial performance against budget by tracking revenue and expenditure, identifying anomalies and implementing corrective action monthly and as required
•To support budgeting processes by providing input into expense control and cash flow requirements, reviewing and providing suggested amendments to budgets and engaging with Asset Management to understand budget impacts on property performance monthly and as required
6.Reporting
•To generate formal reports for portfolio meetings by extracting and interpreting building data from the property management systems monthly.
•To generate informal reports by extracting and interpreting building data from the property management systems as required.
Salary:
The salary for this position will be competitive and commensurate with experience and qualifications.

Qualifications:
NQF 6 in Property Management, Business and/or Operations is required
Functional experience:
5 years’ experience in commercial property management is essential
