Description:

Job Purpose:

The Hub Manager is responsible for overseeing the daily operations of the hub, ensuring smooth coordination between various departments, and maintaining efficiency, productivity, and safety standards across all operations.
This role requires strong leadership to manage diverse teams and optimize processes across stock control, dispatch, floral production, fleet management, and administration.
The Hub Manager will ensure compliance with company policies, improve workflows, and guarantee the timely and accurate movement of goods and services.


Key Responsibilities:
Team Leadership & Development:

Supervise and manage the staff across all departments (Stock, Operations, Floristry, and Fleet).
Ensure all team members are trained, motivated, and well-supported in their roles.
Foster a culture of teamwork, collaboration, and continuous improvement.
Conduct performance reviews, provide feedback, and address any personnel issues promptly.


Inventory & Stock Management:

Ensure accurate stock levels are maintained, and proper stock rotation is in place.
Oversee the movement of goods through receiving, storage, picking, and dispatch stages.
Work with the Stock Controller to track inventory discrepancies, wastage, and optimize stock processes to reduce variances.
Ensure proper documentation and compliance with health and safety regulations.

Operational Efficiency & Process Optimization:

Monitor and analyse the performance of all operational departments, identifying trends, inefficiencies, and areas for improvement.
Develop and implement strategies to improve productivity, reduce errors, and maintain optimal operational performance.
Tracking productivity metrics and implementing corrective actions when necessary.
Collaborate with other department leads to optimize dispatch routes, warehouse organization, and the cold chain process.


Dispatch & Delivery Oversight:

Ensure timely dispatch of goods, meeting operational deadlines (e.g., 12 pm dispatch cutoff).
Supervise and optimize delivery routes, coordinating with the Fleet Team Lead to address any delays or issues in the delivery process. Ensure the accurate processing and dispatch of all orders, with particular attention to temperature-sensitive items and special handling requirements.


Compliance & Safety:

Ensure that all operations are compliant with health, safety, and legal regulations.
Maintain a clean and safe working environment, with proper storage and handling of goods.
Monitor the use of PPE and other safety measures in all departments, ensuring adherence to company guidelines


Reporting & Documentation:

Maintain accurate and timely records on operational performance, including inventory levels, staff performance, and delivery metrics. Prepare regular reports for senior management on the hub’s performance, including KPIs, productivity, and error rates.
Ensure all necessary documentation (e.g., dispatch checklists, safety reports, inventory logs) is completed accurately and on time.


Customer Service & Liaison:

Act as the primary liaison between the hub and customers, ensuring excellent service is provided to both internal and external stakeholders.
Address any customer concerns or issues regarding orders, dispatch, or quality, working with relevant teams to resolve them promptly.


Continuous Improvement & Innovation:

Stay informed on industry best practices and continuously seek ways to innovate and improve operational processes.
Lead initiatives to reduce waste, improve efficiency, and maintain the highest standards of service delivery.


General Administration & Ad-Hoc Duties:

Oversee general administrative tasks, including scheduling, staff management, and ensuring smooth day-to-day operations of the hub. Assist with recruiting and onboarding temporary or seasonal staff when necessary.
Perform other duties as required by management to support hub operations.
