Our client in Wellington is looking for a Reservations and Admin Controller. Key Responsibilities: Bookings ManagementManage and coordinate all reservations across the following platforms:
NightsBridge
Booking.com
Expedia
Airbnb
TravelGround / LekkeSlaap
SafariNow
TripAdvisor
Direct email/phone/web enquiry
Confirm bookings, respond to guest queries, process payments and ensure smooth pre-arrival communication
Update availability, promotions, rates, and content across all platforms
Liaise with housekeeping and kitchen teams to ensure guest readiness
Maintain exceptional phone and email etiquette at all times
Administrative & Financial Duties
Perform general daily office administration: filing, document control, correspondence, and scheduling
Daily cash-up and reconciliation on the Lightspeed POS system (training will be provided)
Creating and issuing invoices to guests and suppliers
Allocating payments on the Xero financial system (prior knowledge not required – training will be provided)
Managing and following up on outstanding payments (debtors)
Generating Excel-based reports for bookings, revenue, occupancy, and cash flow
Assisting with monthly reporting, data capturing, and team support
Requirements:
Minimum 2 years of experience in a hospitality or office admin role
Fluent in English and Afrikaans (additional languages a bonus)
Excellent Excel skills – formulas, tables, filtering, and formatting
Knowledge of NightsBridge is essential
Exposure to Xero and Lightspeed POS is beneficial – but not essential (we will train the right person)
Exceptional attention to detail and strong organisational skills
Excellent communication – written and verbal
Friendly, confident telephone manner
Team player who can manage multiple tasks under pressure
Well-presented, reliable, and discreet
