Duties:
The Employee is responsible for the day-to-day operation of complexes (assistance to the Portfolio Manager and Manager), including maintenance of the WECONNECTU system, and such other tasks and duties as are reasonably required and incidental to the service provided as Administration Assistant.
Main functions:
1. Daily/weekly ad hoc items
2. Complex queries.
3. Maintenance Items for the complex this includes obtaining quotations and following through until work is completed. Updating your PM (Portfolio Manager on all progress) where necessary.
4. Maintenance Items for units where it is the body corporate’s responsibility this includes obtaining quotations and following through until work is completed. Updating your PM (Portfolio Manager on all progress) where necessary.
5. Letters for complex matters and individual owners, as and when required. This will include the complex incident reports, updating the system and or schedules, releasing letters to relevant units.
6. Handling the Biometrics for the buildings, forms checking vetting controlling approving,
7. Payment queries/ outstanding invoices for the complexes – assisting the PM with following up with e.g. Municipality etc.
8. Complaints / request for meetings from owners - which need to be sent onto the trustees with the permission of your PM
9. Scanning of all payment invoices, saving on system.
10. Facilitating and submitting insurance claims from start to completion.
11. AGM Prep, this includes the notice. On day of AGM putting together of Attendance register, resolutions, additional copies where needed, proxies and apologies.
12. General Filing.
13. Monthly Report Filing.
14. Keeping the minute books up to date and in order.
15. Assisting with anything that the PM might request which is not part of their job description.
16. Sending out of original AGM notices and reminders thereof via email and sms.
17. At the discretion and approval of the branch manager where it should be necessary you may be requested to fulfil a function over and above the guidelines mentioned
