Dis-Chem Pharmacies in Midrand has an opportunity available for a Pharmacy License Administrator. Provide comprehensive administrative and regulatory support to the pharmacy operations team in the acquisition, renewal, and maintenance of pharmacy licenses. Ensures full compliance with South African Pharmacy Council (‘SAPC”), Department of Health (“DOH”), and other relevant legislative requirements. Responsible for managing documentation, act as a liaison with regulatory bodies, and support pharmacy design compliance in accordance with licensing standards.
Minimum Requirements…
Essential:
- Grade 12 / Matric
- Diploma or Certificate in Business Administration or related field
- Minimum of 3 – 5 years’ experience as a pharmacy administrator
Pharmacy License Administration and Documentation
- Prepare, submit, and monitor pharmacy license applications and renewals in accordance with South
- African Pharmacy Council (SAPC) and Department of Health (DOH) regulations.
- Maintain accurate records for each site/project, including all certificates, licensing correspondence,
- and complaince documents.
- Ensure all operational pharmacies hold a valid and current license.
- Coordinate and follow up with regulatory authorities to ensure timely processing and resolution of
- license applications.
- Ensure any modifications to the licensed pharmacy are recorded and reported to the South African Pharmacy Council (SAPC) and Department of Health (DOH).
- Facilitate and document changes to existing licenses with relevant authorities.
- Manage de-registration process for closed pharmacies.
- Address and resolve non-compliance letters or regulatory feedback.
- Ensure adherence to all legal and regulatory requirements for pharmacy operations.
- Monitor updates to relevant pharmacy laws/regulations and implement changes as rneccesary.
- Assist with document preparation for pharmacy inspections and audits.
- Conduct research and provide demographic support for new pharmacy license applications.
- Collaborate with the Projects teams to ensure pharmacy design and layout meet licensing criteria.
Liaison with Regulatory Bodies
- Act as a primary point of contact with South African Pharmacy Council (SAPC), Department of Health (DOH) and other regulatory bodies.
- Schedule and coordinate inspections and audits.
- Partner with internal teams, such as Projects and Leasing, to compile and complete application packs.
- Provide regular updates and reports to the Operations Director regarding licensing progress and regulatory feedback.
- Deliver comprehensive administrative assistance to the pharmacy teams and Operations Director.
- Manage meeting logistics and maintain accurate minutes and action plans for licensing-related discussions.
- Maintain confidential records and handle sensitive information with discretion.
- Compile reports on license statuses, renewals, and inspection outcomes.
- Prepare and maintain accurate, up-to-date reports on license applications, audit outcomes, and regulatory updates.
- Ensure all documentation is properly completed, stored, and available for internal and external audit requirements.
- Adhere to Dis-Chem Policies and Standard Operating Procedures.
- Adhere to Health and Safety rules and regulations.
- Ensure that all pharmacy license applications are discussed only with the relevant parties and not disclosed to any third parties.
