We are on the lookout for a super-efficient , high-energy Talent Acquisition Administrator to support our busy Talent Acquisition Team so speed, accuracy, and adaptability are non-negotiables.
We are searching for a “Doer” and a “Go-Getter” — someone who adapts quickly, takes initiative, and gets things done with urgency and is able to thrive under pressure.
You will be a key part of the engine that keeps our recruitment function running smoothly.
Key Responsibilities and/or output areas include, but are not limited to:
Interview Coordination and Administration
- Coordinate and schedule both internal and client interviews, ensuring all logistical details are managed efficiently.
- Monitor and update interview progress through the online talent system.
- Collect and verify all required candidate documentation, ensuring profiles are accurate and complete.
- Manage proactive interview confirmations, rescheduling, and communication with candidates, consultants, and agency partners.
- Coordinate the setup of assessments or case studies as needed.
- Host candidate interviews when required, ensuring a seamless and professional experience.
Integrity Checks
- Conduct comprehensive background verifications, including credit (ITC), criminal, fraud, identity checks, through accredited credit bureaus or authorised third-party service providers.
- Confirm validity of work permits and passports (if applicable).
- Verify academic qualifications (Matric and tertiary).
- For international qualifications, verify legitimacy and flag concerns.
- Promptly escalate any discrepancies or concerns identified during background checks to the relevant Talent Acquisition Specialists.
Reference Checks
- Conduct comprehensive telephonic reference checks and ensure accurate completion of all supporting documentation.
- Obtain and document reference feedback provided by external recruitment agencies.
- Ensure all reference documentation is correctly filed and stored in the candidate’s record.
Database and Talent System Maintenance
- Accurately update and maintain candidate records within the recruitment database.
- Ensure all candidate information, including documentation and notes, is consistently up to date.
- Assist in the creation and finalisation of internal IQ CVs following interviews.
Ge neral Recruitment Administration & Support
- Provide general administrative assistance to the Talent Acquisition team on an ad hoc basis, ensuring flexibility in responding to varying recruitment needs.
- Contribute to internal Talent-related projects and initiatives as required.
- Gain exposure to and provide support across responsibilities typically held by Senior Talent Acquisition Administrators and Talent Acquisition Specialists — offering valuable career development opportunities.
What You’ll Need to Succeed
- 5+ years’ recruitment administration experience in a fast-paced environment.
- Experience supporting multiple Talent Specialists and business environments simultaneously.
- Strong working knowledge of Microsoft Office , especially Word and Excel.
- Comfortable using Teams , Zoom , and applicant tracking systems.
- Familiar with online recruitment portals and processes.
- Basic understanding of South African employment legislation relevant to hiring.
- Exceptional time management , attention to detail, and adaptability.
Education
- Matric
- Diploma/Certificate/degree in an HR or Recruitment related field preferred
