Description:
We are seeking a proactive and detail-oriented Administrative Assistant to support our client’s operations team. This individual will play a key role in ensuring the client’s back-office functions run smoothly and efficiently, contributing directly to a mission of managing high-quality multifamily residential housing properties.
Responsibilities:
· Managing and reviewing employee clock-in/out times via FingerCheck.
· Communicating with staff and managers to correct time entries and collect confirmations.
· Organizing and tracking documents for business licenses and compliance requirements.
· Contacting city offices to gather permit and licensing requirements and checklists.
· Coordinating with property managers to collect reports, fire inspections, and paperwork.
· Assisting in spreadsheet creation, data extraction, and reporting.
· Designing simple documents and marketing materials (e.g., badges, QR codes) in Canva.
· Managing small projects such as bulk ordering, scheduling, or internal process tracking.
Requirements:
- Admin: 1 to 2 years
- English: 3 to 4 years
Requirements:
· Availability to work Monday- Friday from 9 AM to 6 PM EST
· Excellent English communication (written and verbal).
· Able to juggle multiple administrative tasks efficiently.
· Comfortable navigating unfamiliar websites and reaching out for needed info.
· Able to ask the right questions and follow up without handholding.
· Tech Savvy
· Detail Oriented- Able to catch inconsistencies and follow through on open items.
