Work Description and Key Responsibilities
- Develop and maintain efficient office systems to streamline operations.
- Act as a liaison between the department and buyers to ensure seamless communication and coordination.
- Oversee the maintenance and organization of office equipment and supplies for optimal functionality.
- Prepare and compile the department's monthly report to track performance and identify areas of improvement.
- Coordinate daily vehicle collections for drivers, ensuring timely and efficient scheduling.
- Facilitate the onboarding process for new drivers, including orientation and training.
- Manage ordering and distribution of uniform for the department.
- Effectively manage driver leave requests and overtime scheduling to maintain operational efficiency.
- Prepare supplier payment requisitions and liaise with the accounts department to ensure timely payment.
- Monitor stock levels at vehicle storage depots to prevent losses and optimize inventory management.
- Collaborate with carrier companies to coordinate loading activities and ensure timely transportation of vehicles.
- Handle and coordinate time and attendance function and queries.
- Act as a liaison between the department, HR, and Payroll to address and resolve driver-related queries.
- Ensure proper record keeping.
- Assist with any other adhoc tasks.
Minimum Requirements:
- Matric (Grade 12) required.
- A relevant diploma/degree in administration or logistics is a MUST .
- At least 2+ years administrative experience.
- Strong computer literacy (Proficient in MS Office).
- Excellent communication and interpersonal skills.
- Ability to work under pressure, prioritize effectively, and meet deadlines.
- Must have own transport and valid driver’s license
- Must be willing to work every second weekend and some public holidays
