Description:
Our Client, a leader in Rent-to-Own financing for movable assets in the transport industry, is seeking a skilled and detail-oriented Administrative Assistant to support our Risk Coordinator in managing short-term rental contracts , insurance administration, financial tasks, asset control, and service management .
Key tasks and responsibilities:
Maintenance & service contracts
Monitor assets and service schedules, send reminders, and invoice on time.
Notify clients of contract end dates.
Financial support
Request and submit monthly odometer readings.
Process debtors’ orders, supplier and debtor invoicing, and follow up on outstanding payments.
Insurance administration
Asist with the registration and tracking of insurance claims.
Report breakdowns and gather necessary claim documentation.
Facilitate settlements requests, deregistration’s, and tracking installations.
Facilitate debit orders and excess payments.
Arrange cross Border cover and permission letters.
Manage insurance adjustments for end-of-contract or sold vehicles.
Short term rental contracts administration
Draft and load contracts for signature via DocuSign.
Arrange insurance for short-term contracts.
Perform rental invoicing, mileage charges, and payment follow-ups.
Monitor assets monthly and communicate asset movements or cancellations with all parties.

Requirements:
- Grade 12 / Matric certificate.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Knowledge of accounting programs such as Sage Pastel Accounting (advantageous)
- Any relevant tertiary qualification.
- Must have a minimum of 3 – 4 years previous experience in an administrative role
- Extremely well spoken and proficient in English & Afrikaans
- Excellent interpersonal skills.
- Professional apearance and demeanour.
- Self-motivated and result driven.
- Accurate and dependable.
- Own transport
