Hire Resolve's client, a well-established financial planning firm, is seeking a detail-oriented and organized Portfolio Administrator to join their team in Cape Town. This role plays a key part in supporting investment operations, maintaining accurate client records, and ensuring seamless communication between clients, advisors, and platform providers. The ideal candidate will be proactive, client-focused, and capable of handling multiple tasks with precision. People

Proactively handle client and advisor communication and queries.

Interact with clients, colleagues, management, and LISP providers.

Provide high-quality client service and support.
Procedures
-
Load new clients into the CRM system.
-
Collect and manage mandate documentation and client ratings.
-
Perform client screening and complete CDD (Client Due Diligence) for all clients.
-
Maintain and manage distribution lists (Correl8).
-
Follow up on outstanding information and incomplete documentation.
-
Maintain accurate client records and monitor CRM client folders.
-
Update and clean up database, flagging inactive investments.
-
Investigate and reconcile discrepancies between internal reports and LISP data.
-
Assist with general administrative tasks and support team members as needed.
Client Services & Reporting
-
Prepare and distribute investment instructions (initial, switches, rebalancing, changes).
-
Prepare management reports, including AUM and AUA.
-
Monitor and implement model portfolio changes and deviations.
-
Restructure client portfolios as necessary.
-
Register new model portfolios and assist with advisor linking.
-
Prepare platform-based quotations and assist with mandate-related administration.
Administrative Processes
-
Follow internal administrative procedure guidelines.
-
Complete tasks within defined turnaround times.
-
Ensure compliance with FAIS and FICA principles.
Technology
-
Proficiently use CRM systems and platform portals.
-
Full working knowledge of Microsoft Office (Word, Excel).
Requirements
Formal Education
-
Matric (Grade 12).
-
Relevant skills in:
-
Communication (English and Afrikaans).
-
Basic math and reconciliation.
-
Experience
-
2 - 5 years experience in a financial services or investment-related administrative environment.
Knowledge

Strong administrative background.

Excellent customer service skills.

Technologically literate (MS Office, email, internet use).

Basic knowledge of investment platforms and model portfolios.
