The successful candidate will provide high-level administrative and industry support to attorneys in handling civil litigation matters, with a primary focus on High Court cases and Magistrate Court proceedings.The role requires a detail-oriented, organized, and proactive professional who is well-versed in the day-to-day operations of a busy legal practice.
Key Responsibilities:
Assist attorneys with civil litigation by drafting, reviewing, and preparing legal documents (pleadings, motions, affidavits, etc.). Manage and organize case files (physical and electronic) and ensure timely submission of documents. Coordinate with clients, witnesses, and experts for meetings and document collection. Support attorneys with filing and managing documents for High Court and Magistrate Court matters. Prepare court bundles, subpoenas, and legal documents. Ensure timely filing and obtain necessary court orders and endorsements. Manage reception duties, including incoming calls, scheduling, and client interactions. Greet visitors and handle general administrative tasks (data entry, filing, etc.). Draft legal correspondence and ensure timely, professional communication with clients. Keep clients updated on case progress and assist with reports. Manage attorney calendars, scheduling meetings and hearings. Handle timekeeping, billing, and general office administration (filing, photocopying, scanning). Assist with legal research and prepare discovery documents, witness statements, and filings. Keep case files organized and accessible. Assist attorneys and ensure all documentation is filed promptly. Monitor ongoing legal proceedings and ensure timely document filing. Collaborate with attorneys and support staff to ensure smooth case management and workflow. Provide general administrative support as needed. Key Skills & Qualifications:
Minimum of 3 years experience as a Litigation Secretary In-depth knowledge of legal terminology, procedures, and documentation. Strong administrative skills, including document preparation, file management, and time management. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal practice management software. Excellent communication skills (both verbal and written), with an ability to interact effectively with clients, attorneys, and external parties. Ability to work independently and as part of a team, managing multiple tasks and deadlines efficiently. Exceptional attention to detail and high levels of organization. Discretion and confidentiality in handling sensitive legal information. Experience with court filing procedures and familiarity with court systems is essential.
