Description:
The Junior Financial Administrator will be responsible for providing essential financial and administrative support to the finance department. This role encompasses a broad range of tasks including processing Goods Received Vouchers (GRVs), managing income and expenses, and maintaining accurate stock control records. The ideal candidate will be detail-oriented, possess strong organizational skills, and have a foundational understanding of financial principles within the South African business context.

Responsibilities and Duties:
1. Goods Received Vouchers (GRVs) and Accounts Payable:
Process and accurately record GRVs, ensuring alignment with purchase orders and delivery notes.
Verify supplier invoices against GRVs and resolve discrepancies.
Maintain accurate records of all GRVs and related documentation.
Assist with the processing of supplier payments, adhering to company payment terms.
Assist with supplier statement reconciliations.
Assist with the preparation of payment requisitions.
Ensure compliance with South African VAT regulations related to GRVs and supplier invoices.
2. Income and Expense Management:
Record and reconcile daily/weekly/monthly income and expense transactions.
Assist with the preparation of monthly financial reports.
Maintain accurate records of all financial transactions, including receipts, invoices, and payments.
Assist with the processing of employee expense claims.
Assist with bank reconciliations.
Ensure compliance with relevant South African financial reporting standards (e.g., IFRS for SMEs where applicable).
Assist with the preparation of documentation for annual audits.
3. Stock Control
Maintain accurate stock records, including tracking inventory levels and movements.
Conduct regular stock takes and reconcile physical inventory with system records.
Investigate and resolve stock discrepancies.
Assist with the preparation of stock valuation reports.
Monitor stock levels and report on potential shortages or excess inventory.
Ensure adherence to company stock control procedures.
Assist with the implementation of stock control systems.
4. General Administrative Support:
Maintain organized filing systems for financial documents.
Assist with the preparation of financial reports and presentations.
Respond to financial inquiries from internal and external stakeholders.
Perform other administrative tasks as assigned by the Senior Financial Administrator/Financial Manager.
Assist with the implementation and maintenance of financial software.
Assist with the preparation of documentation for SARS submissions.
Qualifications & Experience
Relevant tertiary qualification (Diploma/Certificate in Accounting, Finance, or related field) preferred.
Minimum of 1-2 years of experience in a similar role, preferably within a South African business environment.
Basic understanding of accounting principles and financial processes.
Proficiency in MS Office Suite, particularly Excel.
Experience with accounting software (e.g., Pastel, Sage) is advantageous.
Knowledge of South African VAT and other relevant tax regulations.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy.
Ability to work independently and as part of a team.
