IVANHOE MINES is looking for a HR Administration Officer.

The development of the Kamoa-Kakula copper mining complex in the Democratic Republic of Congo(DRC), the Platreef palladium-rhodium-platinum-nickel-copper-gold discovery in South Africa, the extensive redevelopment and upgrading of the historic Kipushi zinc-copper-germanium-silver mine, also in the Democratic Republic of Congo and exploration on the Western Foreland, near Kamoa-Kakula.

Purpose of the role:

To provide human resource administrative support for all businesses and operations in the DRC. The incumbent will be responsible for comprehensive HR administrative support.

Responsible for the documentation flow through the department in respect of leave applications, personnel files, and will be responsible for the human resources system, ensuring that the database information is always up to date.

Requirements:

  • Total 3 - 4 working years’ experience in HR and/ or mining environment
  • Degree or Diploma with experience in the human resources field.
Minimum advanced skills and knowledge in:
  • South African Labour Laws
  • DRC Laws
  • Understanding of ER process
  • DRC legislation
  • General HR processes
  • Site specific documents including CBA
  • Computer literacy
  • Excel
  • SAGE P300 (basic level would be advantageous)
  • Expat onboarding- advantageous
  • French- spoken and written would be advantageous

Your Key Performance Activities will include but not limited to:

Process: Administrative support

Provide administrative support to the Business Unit

  • Prepare (upon request) and distribute position requisitions as well as all staff changes, including contract renewals
  • Distribute approved Candidate Requisition and /or Deviation Requisition forms to the relevant labour hire company for offer extensions.
    • Execute administration with attention to detail and accuracy.
    • Compile and submit reports about new recruits, leave, terminations and absconded employees.
    • Collect promotion information related to the work area.
    • Request translation and notarisation of documents.
    • Assist with preparing documents for visa applications.
    • Booking of annual medicals for expatriates, where required.
    • Inspect all visas permits to ensure they are valid and up to date to ensure all expatriates have the required permits to perform the work at our operations.
    • Assist with the preparation of the expatriate payroll.
    • Assist with keeping the tracker updated for all onboarding activities.
    • Assist with the onboarding of new employees.
    • Prepare and submit accurate documentation on employees for HR record keeping, system capturing and payroll processing.
    • Assist other HR administration as requested.
    • Support the business unit team to meet business requirements, and comply with all policies, processes, and standards.
    • Process all documentation according to relevant policies, procedures, and time-frame; ensure documents are authorized as required and retain copies of important documents on file or electronically to ensure an updated and available record-keeping system exists.
    • Collaborate with IT to ensure all end-users have the correct access rights to systems and perform their functions effectively.
    • Create reports on request to assist in decision-making
