Description:

Freight Forwarder based in Kloof is looking for a Receptionist / Office Administrator. Matric minimum. MS Office skills including excel. Experience with POD's an advantage. Basic accounting experience an advantage. Immediate start essential. Duties include: opening shipment files, tracking shipment delivery dates, updating shipment details, proof of delivery process, building relationships with clients, reception, assisting with creditors and invoicing. Responsibility:
• Front of office - Welcome & direct guests. • Manage and maintain calendar for Management • Manage the switchboard and messages, answer, screen, and forward incoming phone calls/ assisting where applicable. • Filing, photocopying & scanning for all departments • Manage and order stationery and other office consumables • Maintaining office filing and storage systems for all departments • Generating letters and minutes of meetings. • Updating and maintaining databases such as mailing lists, contact lists, and client information • Arranging and monitoring courier service delivery • Managing the boardroom bookings and ensuring that boardroom equipment is available • Log calls for office maintenance • Provide backup support for other administrative & operations staff, as required, and perform other related duties. • Ensure the reception area is tidy and presentable, with all necessary stationery and material • PODS: Receive, check, maintain and update POD schedule and forward POD’s to Customers. • Accounts: Filing, Month end checks and assistant and other general admin and accounting duties • Basic Accounting Recons (benefit but not essential) • Pastel Accounting processing (benefit but not essential)
