My client in Oil & Gas is looking for a Temporary Receptionist to manage front desk operations, switchboard duties, and travel bookings. The ideal candidate has 5+ years of experience in reception and travel coordination, thrives in a fast-paced environment, and is bilingual (English & Afrikaans).

Key Responsibilities Reception Duties:

  • Greet and assist visitors professionally.
  • Answer, screen, and forward calls efficiently.
  • Maintain an organized and welcoming reception area.

Travel Coordination:

  • Arrange domestic and international travel for employees.
  • Coordinate flights, accommodation, and transport.
  • Ensure travel plans align with company policies and budgets.
  • Switchboard Operations:
  • Operate a multi-line switchboard and direct calls appropriately.
  • Handle inquiries and provide essential information.

Administrative Support:

  • Manage office supplies and reception upkeep.
  • Organize couriers (Courier Guy, collections and deliveries).
  • Liaise with building managers regarding maintenance and potential noise disruptions.
  • Arrange for technicians to resolve printer and internet issues.
  • Assist the depot manager with obtaining quotations and purchases.
  • Update truck driver certifications, including medical and dangerous goods certificates.
  • Handle harbour pass applications for drivers and ensure collection.
  • Process and track delivery note books and director-requested items, including obtaining quotes, approvals, and payment follow-ups.
  • Arrange pharmacy orders and stationery requests for directors.
  • Perform additional administrative tasks as required by management.
