Administrative Assistant – Sectional Title Property Management
We are looking for a highly organized and proactive Administrative Assistant to support a Sectional Title Property Manager. This role requires strong administrative, communication, and customer service skills, with an opportunity for professional growth within the company.
Requirements:
· Experience in sectional title property administration is beneficial.
· Strong written and verbal communication skills.
· Ability to work efficiently in a deadline-driven environment.
· Skilled in record-keeping, correspondence management, levy collection, and meeting administration.
· Self-motivated and eager to develop new skills.
· Able to anticipate the Manager’s needs and ensure tasks are completed promptly.
· Proficiency in MS Word, Outlook, and Excel.
· Experience with WeconnectU software is advantageous.
· Own vehicle required.
Responsibilities:
· Obtain and process quotes while ensuring procurement compliance.
· Facilitate payment approvals and processing.
· Download and manage bank statements.
· Assist clients with levy statement queries and debt collection.
· Send reminder statements, issue final demands, and liaise with attorneys for overdue accounts.
· Reconcile and manage petty cash accounts for multiple schemes.
· Draft Trustee correspondence for rule enforcement.
· Issue insurance certificates and process insurance claims.
· Submit water meter readings and update account details with the Accounts Department.
· Investigate and resolve General Ledger discrepancies.
· Assist the Portfolio Manager with various administrative and operational tasks.
· Prepare meeting minutes and compile AGM packs.
· Coordinate and schedule meetings for the team.
· Distribute notices, correspondence, and meeting minutes.
· Maintain accurate records of documentation for owners and scheme activities.
