Description:
- The Admin Clerk is responsible for assisting the site with all administrative duties.
- Ensure that the office is clean and maintained in an orderly manner.
- Ensure all documents required by other staff members are available for them to perform their duties such as capture all data into relevant programs on computer and then file documents.
- Filing of Job cards, STC’s, SIS’s, delivery notes, requisitions, stock take sheets.
- Submit all electronic site info in the correct format to head office timeously.
- Collect and complete control sheets for all invoices and delivery notes and post to head office weekly.
- Communicate with customers, employees, and other individuals by answering questions, distribute or explain information and take orders.
- Answer telephones, direct calls and take messages.
- Complete and mail staff contracts, policies, sick notes, leave forms, disciplinary documentation, timesheets and medical reports to head office.
- Operate office equipment, such as photocopiers, scanners, facsimile machines, voice mail systems and computers.
- Open, sort and route incoming mail, answer correspondence, and prepare outgoing mail.
- Deliver messages and run errands.
- Complete work schedules, manage calendars and arrange appointments.
- Process and prepare documents, such as expense reports and maintain site petty cash as per head office requirements.
- Prepare meeting agendas, attend meetings and disciplinary hearings, and record and transcribe minutes.
- Resolve problems involving office equipment, such as computer hardware and software.
- Make travel arrangements for site personnel.
- Manage staff attendance/absenteeism on a day-to-day basis and ensure the appropriate documentation is completed and send to Head Office.
- Assist in controlling staff accommodation, electricity and water usage.
- Assist with safety on site.
- Handover in form delegation of Authority must be done when going on R & R or taking Leave.
- Assist in ad-hoc duties and administrative tasks as required by the site.

- Minimum of 2 years’ experience in a similar role.
- Computer Literate - MS office.
- Strong Administrative skills.
- Good Communicational skills.
