We are seeking a dependable individual to fulfil the role of a Personal Assistant and Administrator offering professional secretarial and administrative support in an efficient and timely manner.
The successful candidate will work closely with The Directors, undertaking diverse
tasks associated with their professional life and communication, maintaining an organized workflow.
The ideal candidate will possess strong organisational, administration and maths skills.
If you are either an experienced PA/Administrator or a Junior level PA/Administrator this could be the right position for you.
Please note: Only candidates residing in the Ekurhuleni region will be consider for this position.
DUTIES & RESPONSIBILITIES
- Serve as the primary liaison between the Directors and both internal and external clients
- Screen and redirect phone calls and distribute various forms of correspondence
- Handle requests and inquiries in a suitable manner
- Organize and manage the Director’s calendar, scheduling meetings and appointments
- Arrange travel plans and accommodations
- Take dictation and minutes during meetings
- Ability to Procure Office supplies and/or review expenses and ensure the best pricing at all times
- Creates reports, presentations, and briefs
- Develop and maintain an efficient filing system for office documents
- Ensure all Admin is maintained and organized in a professional manner
- Contribute to the company culture by way of arranging events when needed
- Ensures that the Directors are briefed with various issues that may arise at all times
- Ensures that the Directors have a seamless work calendar
- Takes responsibility of any communication deemed necessary by the Directors
- Ability to travel when required
- Ability to create and maintain relationships
- Assist with any administrative tasks that might arise as required by the Directors
- Any Duties deemed necessary by the Directors
- Act and Represent the Directors in various areas should the need arise
Non-Negotiable Minimum Requirements
- Must have Matric.
- Relevant Tertiary Qualifications would be an advantage
- Must have a minimum of 5-7 years’ professional experience in a similar role.
- Mature person required.
- Must have own reliable transport and valid driver’s license.
- Full Microsoft Office Function- Advanced Level.
- Must have invoicing experience.
- Must be able to work under immense stress and pressure.
- Must be willing to work weekends and overtime (when/if required).
- Must be available immediately.
- Must reside in the Ekurhuleni area.
