The Faculty Administrator plays a crucial role in ensuring the smooth operation and administration of the faculty.   • A relevant diploma or degree in Administration, Education, or a related field.
  • At least three years of experience in academic administration or a similar role in higher education.

Key Responsibilities
Academic Administrative Support

  • Provide comprehensive administrative support to academic staff and faculty leadership.
  • Oversee the creation and maintenance of academic calendars, timetables, and schedules.
  • Maintain accurate records of academic programs, student enrollment, attendance, and grades.
  • Coordinate the preparation, distribution, and collection of academic materials.
  • Serve as the primary point of contact for academic staff regarding administrative queries.

Student Communication and Support

  • Act as a liaison between students and faculty, responding to inquiries and providing guidance.
  • Assist students with registration, course enrollment, withdrawals, and program changes.
  • Disseminate important academic information via various communication channels.
  • Facilitate student access to academic resources, such as study materials and learning platforms.
  • Address student concerns, escalating issues as necessary.

Examination and Assessment Administration

  • Coordinate the preparation, distribution, and collection of assessments.
  • Manage the logistics of examinations, including room bookings and invigilator assignments.
  • Ensure that student results are accurately recorded and submitted on time.
  • Monitor compliance with institutional policies on assessment practices.
  • Assist in organizing and preparing for examination boards.

Quality Assurance and Compliance

  • Ensure compliance with institutional policies and external regulatory standards.
  • Assist in accreditation and reaccreditation processes by maintaining accurate records.
  • Monitor and update student and program data for quality assurance.
  • Support the preparation of reports and audits.
  • Maintain accessible records of academic policies and procedures.

Admissions Vetting, Graduation Vetting, and Logistical Support

  • Assist with admissions vetting to ensure required documentation is met.
  • Support the graduation vetting process, ensuring academic requirements are met.
  • Coordinate logistics for admissions events, orientations, and graduation ceremonies.
  • Provide administrative support for processing graduation materials.

Technology and Learning Management System (LMS) Support

  • Provide administrative support for the institution’s LMS.
  • Assist academic staff and students with technical issues related to digital learning platforms.
  • Ensure academic content is up-to-date on the LMS.
  • Collaborate with IT teams to resolve technical issues.

Data Management and Reporting

  • Ensure accurate management of academic data, including student records and compliance documents.
  • Generate reports on academic metrics such as student performance and enrollment trends.
  • Ensure adherence to data privacy and security policies.
