Description:
Reporting to Managing DirectorKEY RESPONSIBILITIES:
Provide general administrative support and typing services for top management.
Arrange travel, including flight and hotel bookings.
Manage telephone calls, schedule appointments, and welcome visitors.
Monitor and manage emails on behalf of the managing director.
Compile board reports.
Coordinate boardroom bookings.
Order and manage refreshments.
Oversee signage for company vehicles and manage the pool car fleet.
Supervise and oversee cleaning staff.
Maintain and project a positive company image.
Requirements:
QUALIFICATIONS REQUIRED:Grade 12 (matric) qualification (minimum requirement)
At least 3 years of general office administration experience or 2 years of experience as an executive assistant
A qualification in secretarial studies, personal assistance (pa), or business administration will be an advantage
Specific knowledge required:
General knowledge of office administration.
Ability to acquire knowledge and experience leading to an in-depth understanding of reports required by the directors
Ability to acquire knowledge of company (structure, departments & branches, systems and people)
Specific job skills required:
Advanced computer knowledge in MS office, Word, Outlook, Excel and Powerpoint
Well-developed communication skills in English – written and verbal (listening and vocabulary skills).
Ability to work accurately
Well developed arithmetic skills – ability to compile reports
Excellent orientation skills (including customer orientation)
Well developed interpersonal skills
Ability to use discretion and judgement
Ability to manage people behavioural attributes
Ability to work under pressure and meet deadlines
