A well established end-to-end wholesale freight forwarder is is seeking a suitable candidate for a Costing & Invoicing Clerk position. The position is based in Kempton Park.NOTE: We are looking at candidates with a 1 – 2 week notice preferably to start training soonest.
OverviewTo Cost all files in order to invoice the client.
Main accountabilities include:1. KEY PERFORMANCE AREAS
a) a) Report to Correspondance Manager
b) Receive requests/queries from client via telephone or e-mail for invoices and respond in a courteous, friendly and helpful manner, and respond within a reasonable time.
c) Detail to costing each individual file with regards to client, ROE for that month, destination, weight and dimensions are in accordance with the GRN provided from the company warehouse, emailing the correct invoice in terms of our consolidation rates depending on details of the cargo supplied by the client and or quotes received and accurate surcharges for each client.
d) Sort client queries by emailing the credit note and new invoice in terms of our consolidation rates depending on details and difference of the cargo supplied by the client and or quotes received. Any variations in terms of the invoice for each file, the correspondence with the client MUST be in writing via e-mail and placed in the file along with the credit note, new invoice and original invoice.
e) Follow up on all airlines test weights and inform client of the weight we will be charging them at. Charge client accordingly to that of the test weight.
f) You must make a note of special remarks for special requests or requirements on the export file cover when necessary, in terms of rate, service, dates, documentary requirements or any other issues which will require a specific charge.
g) Invoicing files into the Ship-Shape system, with detail to client, ROE given for each costing and accurate surcharges.
h) Ensure you comply to Security and Safety work regulations
i) Support management in undertaking the protective and preventative measures necessary to achieve compliance with safety and security.
j) Your manager may give you work instructions which does not form part of your main job description which you will need to undertake. The work instruction shall be reasonable and fair and given an acceptable time to complete. If the instruction is found to be unreasonable the employee must make this known the manager for resolution. If a resolution is not found the General Manager may be approached in this regards.
k) Ensure that items of Company or Customer property and equipment are properly maintained and protected. Immediately report any damage, fault or irregularity to your line manager.
l) Work diligently in order to complete the day’s work within normal working hours
