Job Purpose:
To provide office administration support services to the Safety Department and be involved with Safety, Risk and Fire Protection aspects of the site, under the direction of the Safety Coordinator/Safety Manager. The incumbent will also assist with security related aspects from time to time.
Qualifications & Experience :
• Grade 12/Matric
• 2 years’ experience in an administration or clerical environment.
• OHS and Environmental Certificate is a requirement.
• NEBOSH, SAMTRAC, Saiosh accredited courses on HSE is an advantage.
• Good Excel skills.
• A self-starter with high motivation and initiative.
• Demonstrated experience in implementing and following procedures and systems.
• Have the drive to champion proper and complete administration tasks.
• Have confidence to work with the safety/operations team to get the administration tasks completed.
• Team player.
• Communicate clearly and concisely, both orally and in writing.
• Demonstrate professionalism, fairness and honesty in all aspects of the performance of duties.
• Gather and analyze data and situations and make appropriate decisions.
• First Aider, Fire Fighter, SHE Representative, Incident Investigator training is an advantage.
• Current and valid South African driver’s license and proof of a good driving record. Individual must have their own vehicle.
Key responsibilities :
Administration and Reporting
• Coordinate Safety Committee meetings ensuring minutes are taken and meeting bundles are distributed as required.
• Facilitate SHE Representatives Monthly Inspection Sheets and track progress.
• Capture safety information and generate reports on statistics as well as tracking action items and findings from audits.
• Assist operational personnel with administration for ERAs, HIRAs, SOPs, VFLs, PJOs and POs as required.
• Participate in and conduct Safety, Risk, Fire, Environmental and Security audits.
• Undertake Risk Assessments and develop Safe Work Procedures & Environmental Procedures. Develops educational, technical and promotional materials, posters, brochures, newsletters, etc. to create and increase environmental, health & safety awareness.
• Prepare and assist all Independent Service Providers safety files and documents and keep updated records.
• Maintain and track Safety, Risk, Fire, Environmental and Legal Frequency Chart.
• Organise and maintain a filing and document integrated management system (ISO 45000, ISO 14001, BRCGS & Quality).
• Coordinates the first responder clean-up for hazardous waste spills/incidents; provides technical guidance in the clean-up and removal of hazardous materials/waste.
• Coordination and management of WCL1 and WCL2 cases.
General and Other Duties
• Establishment, implementation, maintenance and Continuous improvement of the integrated management system (ISO 45000, ISO 14001, BRCGS & Quality).
• Generate safety and environmental training material for the factory.
• Responsible for annual Safety and Environmental Induction and new employee Safety and Environmental Induction Training.
• Generate Safety, Environment, Risk and Fire briefs.
• Advise on Personal Protective equipment (PPE) and BRC compliance.
• Assist with the administration and implementation of Safety and Environmental Incentives.
• Coordinate activities of Safety and Environmental Independent Service Provider(s).
• Arrange Statutory and Legal Safety and Environmental Training as required by Safety and Environmental Frequency Chart.
• Assist during audits and facilitate all arrangements.
• Sourcing quotes and raising PO requests for the SHEQ Department. Create and process purchase orders requests for inventory purchased from local / overseas suppliers.
• Be assertive and capable of working within a team and being their reminder, conscience and driver to get the necessary administration tasks done effectively and completely.
• Be a team player, hardworking and have a high regard for time management, cost management and quality.
• Ensure office policies and procedures are adhered to.
• Be a tidy and detail orientated person.
• Be disciplined to implement and follow systems and procedures.
• Performs and assists with investigations related to all accidents and incidents independently and in coordination with Safety Coordinator, Quality & SHE Manager and other regulatory agencies as required.
• Performs related duties as required.
Occasionally the incumbent will be required to work overtime and on weekends, at management’s request.
