Description:
The *Logistics Administrator* plays a crucial support role, ensuring that all courier shipments run smoothly byassisting with any escalations or issues that arise, such as delays, lost cargo, or special handling requests.
This role is highly administrative, involving significant data capturing and efficient communication with our courier partners. You’ll focus on identifying and addressing recurring issues or delays, using this information to suggest process improvements and reduce common escalations.
As part of your day-to-day responsibilities, you will capture and organise shipment data, save images of courier documentation for easy reference, and track shipment status updates.
You will also follow up with couriers like FedEx and DHL to chase down necessary information, ensuring any issues are promptly addressed, which in turn helps alleviate pressure on the logistics team and maintains overall efficiency in the shipping process.
TRANSACTIONAL RESPONSIBILITIES
- Efficiently managing courier shipments.
- Resolving escalations with FedEx and DHL in a timely manner. Regularly communicating with courier representatives (daily to weekly) to stay up to date on shipment status.
- Supporting the shipping team by alleviating pressure related to courier issues.
- Providing solutions for courier challenges and taking ownership of shipment escalations.
- Update our CRM (Salesforce) with feedback from these courier partners.
- Save and upload any documentation relating to these queries onto the relevant orders.
- Capturing and documenting data on courier shipments to identify trends, delays, or recurring issues.
- Participating in operational calls with courier partners to discuss urgent shipment needs.
- Sharing insights and key data with the larger shipping team, ensuring that this is logged and tracked in Salesforce.
- Keeping track of regional shipping requirements and updating Salesforce with any new information.
- Maintaining detailed records of client-specific shipping requirements and ensuring they are visible and updated in Salesforce.
- Strong organisational skills: Ability to manage multiple tasks and prioritise efficiently, especially when dealing with urgent issues or escalations
- Strong verbal and email communication skills: Clear and professional communication with courier partners (FedEx, DHL) and internal teams. Ability to write concise, detailed reports and updates in Salesforce.
- Attention to detail: Careful data capturing and tracking of courier shipments, spotting trends or issues in the information being logged.
- Time management: Efficient in managing time, especially when handling multiple courier escalations at once, ensuring all issues are resolved in a timely manner.
